The 1,000-line limit
Building this file by hand every month? Studio Month-End turns your studio's sales export into one balanced journal entry per month, with a tie-out report to check it against. Your export is read in your browser and never uploaded. Get started free.
What the checker looks at
- Balance. For every Journal No., the Debits column and the Credits column are added up in cents. A journal entry whose totals differ is an error, with the difference shown.
- One side per line. Each line has an amount in Debits or in Credits, not both and not neither, and the amount is not zero.
- Plain amounts. Digits with up to two decimals: no currency symbol, no thousands separator, no minus sign. One decimal (12.5) is a warning; 12.50 is the safe form.
- Dates. Journal Date is a real calendar date written MM/DD/YYYY, and every line of one Journal No. has the same date.
- Journal No. and account. Every line has a Journal No. of at most 21 characters and an account name. Sub-accounts are written Parent:Sub, with no empty part around a colon.
- File shape. Comma-separated (not semicolons), every row with as many cells as the header, quotes closed. Columns are found by their header names, in any order. A byte-order mark or LF-only line endings are warnings.
- The 1,000-line limit. QuickBooks Online takes at most 1,000 journal lines per import file (the header row is not counted here). For a longer file, the checker lists how to split it into files of whole journal entries, in file order, so no entry is cut in two.
What it does not check
It cannot see your QuickBooks Online company, so it does not check that each account name exists there, that Location or Class tracking is turned on, or that a Name matches a customer or vendor. An error here means the import is likely to be refused or the entry is wrong. No errors means these checks passed, not that the import will succeed: check the import preview in QuickBooks Online before you post.
These are the same checks every file from Studio Month-End passes before you can download it.
